This policy describes the terms and procedures for canceling your Winkel Factuur subscription.
1. Subscription Cancellation
You may cancel your Winkel Factuur subscription at any time without providing a reason. There are no minimum contract periods or binding commitments.
Cancellation Methods:
Once canceled, your subscription will not automatically renew and no new charges will be incurred.

2. When Does Cancellation Take Effect?
For free trial subscriptions:
You may terminate your free trial subscription at any time. Your access will be immediately terminated.
For paid subscriptions:

To prevent automatic renewal, you must cancel your subscription at least 48 hours before the next billing date. Cancellations within 48 hours of the billing date may still be charged for the next period (depending on your payment processor).

- Your cancellation is immediately processed in our system
- You retain access to the service until the end of the paid billing period (monthly or annually)
- No new charges will be incurred after the current period
- Your account will be automatically deactivated at the end of the paid period

To prevent automatic renewal, you must cancel your subscription at least 48 hours before the next billing date. Cancellations within 48 hours of the billing date may still be charged for the next period (depending on your payment processor).
3. Refund Policy Upon Cancellation
No Pro-Rata Refunds:
Winkel Factuur does not offer partial refunds for unused time within a paid billing period. If you cancel your monthly subscription on day 15, you will not receive a refund for the remaining 15 days, but you will retain access until the end of the month.
Why No Pro-Rata Refunds?
1. Digital Service: Under EU Directive 2011/83/EU Article 16(m) and Dutch distance selling law, you have explicitly consented to immediate delivery of the digital service, thereby waiving the right of withdrawal
2. No Inventory Costs: As a software service, there are no physical goods that can be returned
3. Free Trial Period: We offer 50 free invoices per month without requiring payment details, allowing you to extensively test the service before making a financial commitment

4. Data Access After Cancellation
During the remaining paid period:

Download all necessary invoices, reports, and data before your paid period expires.
- Full access to your account and all features
- You can continue to generate and download invoices
- All historical data remains accessible
- API access remains active (if applicable)
After expiration of the paid period:
- Your account will be automatically deactivated
- You cannot generate new invoices
- You cannot access the dashboard
- Your data will be retained for 30 days in read-only mode for archiving purposes
- After 30 days, your data will be permanently deleted in accordance with GDPR requirements
Recommendation:
Download all necessary invoices, reports, and data before your paid period expires.
5. Data Export Before Cancellation
Before canceling, we recommend exporting your data:

1. Go to "Settings" > "Data Export"
2. Select the data types you wish to export
3. Click "Export" and download the ZIP file
4. Store this export securely on your own system
Note: After 30 days following the expiration of your paid period, we cannot restore your data. Export is your own responsibility.

- All generated invoices (PDF format)
- VAT reports (CSV, Excel, JSON)
- Customer data (CSV)
- Transaction history (CSV)
- UBL files for accounting software
How to Export:
1. Go to "Settings" > "Data Export"
2. Select the data types you wish to export
3. Click "Export" and download the ZIP file
4. Store this export securely on your own system
Note: After 30 days following the expiration of your paid period, we cannot restore your data. Export is your own responsibility.
6. Reactivation Policy
You may reactivate your canceled account within 30 days of deactivation:

Tip: If you're considering returning in the future, cancel but don't let your account fully expire without first creating a data export.
Within 30 Days:
- Log in to your account
- Select a subscription and enter payment details
- Your full history and settings will be immediately restored
- There are no reactivation fees
After 30 Days:
- Your data has been permanently deleted
- You must create a new account
- All previous invoices, customers, and settings are lost
- Rebuilding your invoicing system is required
Tip: If you're considering returning in the future, cancel but don't let your account fully expire without first creating a data export.
7. Downgrade to Free Plan
Instead of fully canceling, you may consider downgrading to our free plan:

2. Click "Downgrade to free plan"
3. Confirm your choice
4. Your payments will stop but account remains active
Downgrade is a good alternative if you temporarily send fewer invoices or want to keep the service on "standby".
Benefits of Downgrade:
- 50 free invoices per month (permanent)
- Retention of your account history
- No data loss
- No notice period or re-registration
- Easy upgrade whenever you want
How to Downgrade:
1. Go to "Settings" > "Subscription"
2. Click "Downgrade to free plan"
3. Confirm your choice
4. Your payments will stop but account remains active
Downgrade is a good alternative if you temporarily send fewer invoices or want to keep the service on "standby".
8. Automatic Renewal and Cancellation
Automatic Renewal:
All paid subscriptions automatically renew at the end of each billing period (monthly or annually) until you cancel.

9. Termination by Winkel Factuur
We reserve the right to terminate your account under the following circumstances:

1. We send a warning with details of the violation and 7 days to correct
2. If not corrected, your account will be suspended
3. You receive a final email with 48 hours to take action
4. Upon no response, your account will be permanently deactivated

- Violation of our Terms and Conditions
- Fraudulent use or abuse of the service
- Non-payment after repeated reminders (15+ days overdue)
- Illegal activities or use for phishing/spam
- Repeated chargebacks without valid reason

1. We send a warning with details of the violation and 7 days to correct
2. If not corrected, your account will be suspended
3. You receive a final email with 48 hours to take action
4. Upon no response, your account will be permanently deactivated
Refund Upon Our Termination:
- Violation by You: No refund of unused time
- Termination Without Cause by Us: Pro-rata refund of unused days
- Technical Reasons (Service Discontinued): Full refund of unused period
